Terms of service

These Terms govern your use of Beacon Reports, a service operated from British Columbia, Canada ("Beacon Reports," "we," "us"). By placing an order, signing in, or otherwise using the service, you agree to be bound by these Terms together with our Privacy Policy and Refund & Revision Policy.
1. The service
Beacon Reports lets fire-service and public-safety customers configure and order custom TeleStaff report files (.rptdesign). The service is offered in two tiers:
- Free Edition — a complimentary, fully-functional version of an eligible template, branded with your department name and logo. Production-ready and TeleStaff-compatible. Limited to one Free Edition per template per user.
- Professional Edition — paid, fully customisable. Includes KPI card configuration, layout customisation, and delivery in minutes after payment confirmation.
2. Eligibility and account
You must be at least 18 years old and legally able to enter into a binding contract on your own behalf or on behalf of the organisation you represent. Sign-in is by a one-time code or magic link sent to your email; you are responsible for keeping access to your sign-in mailbox secure. Do not share sign-in codes or magic links.
3. Orders, pricing, and invoicing
- The price of the Professional Edition is shown in the configurator at the time of order. Prices are in Canadian dollars and exclude GST and any other applicable tax, which we will add to the invoice when required by law.
- Invoices are emailed to the address on the order. Payment terms are net 30 days from the invoice date unless otherwise agreed in writing.
- We accept payment by Stripe payment link, electronic funds transfer, or cheque. We may withhold delivery of a paid order until cleared funds are received.
- An order is accepted only when we send a written confirmation email; the configurator submission alone does not create a binding order.
4. Refunds and revisions
The Free Edition is non-refundable because no payment is taken. Professional Edition refunds, repairs, and revision rounds are governed by our Refund & Revision Policy.
5. Intellectual property
- Your data. You retain ownership of all content you supply (department name, logo, report title, custom-engagement notes). You grant us a limited licence to use that content solely to deliver the service.
- Delivered files. The
.rptdesignfile you receive is yours to use, modify, and deploy within your TeleStaff environment without further fee. You may not resell the delivered file or redistribute it as a standalone product. - Our templates and tooling. The Beacon Reports template library, configurator, report generator, and underlying source code remain our property. Nothing in these Terms transfers ownership of the platform.
- Logos and trademarks. Customer logos are used only to brand the deliverable. We do not display customer logos on our website, in marketing collateral, or in case studies without prior written permission.
6. Acceptable use
You agree not to (a) resell, sublicence, or redistribute the delivered file or the Beacon Reports template library as a standalone product, hosted service, or consulting deliverable to a third party; (b) share sign-in codes, magic links, or shared mailboxes that circumvent per-user identity — each sign-in identity belongs to one human; or (c) use the service in any way that is unlawful, infringing, or designed to interfere with the integrity or availability of the service for other customers. We may suspend or terminate access for serious or repeated violations.
7. Service availability
We aim for high availability but do not promise an uptime SLA on the free tier. Scheduled maintenance and unplanned outages may occur. If the service is unavailable when you attempt to place a paid order, contact support@beaconreports.ca and we will assist manually.
8. Warranty disclaimer
Except as expressly stated in these Terms or the Refund & Revision Policy, the service is provided "as is" and "as available", without warranties of any kind, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the service will be uninterrupted or error-free, or that delivered files will be compatible with every version, configuration, or extension of TeleStaff your organisation operates.
9. Limitation of liability
To the maximum extent permitted by law, our total aggregate liability to you arising out of or in connection with the service, whether in contract, tort (including negligence), or otherwise, is capped at the greater of (a) the amount you paid Beacon Reports for the order giving rise to the claim, or (b) CAD $100. We are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, lost data, or business interruption, even if advised of the possibility of such damages. Nothing in these Terms limits or excludes any liability that cannot be limited or excluded under applicable law (including the BC Business Practices and Consumer Protection Act, where it applies).
10. Indemnity
You agree to indemnify and hold us harmless from any third-party claim arising from (a) your breach of these Terms or any applicable law, or (b) content you submit to the service (for example, a logo or department name you do not have the right to use). Our indemnity to you is limited to the cap in Section 9.
11. Termination
You may stop using the service at any time. We may suspend or terminate your access if you materially breach these Terms (including Section 6), or if continuing to provide the service would expose us to legal risk. On termination, Sections 5, 6, 8, 9, 10, 12, and 13 survive.
12. Governing law and disputes
These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable in British Columbia. The parties attorn to the exclusive jurisdiction of the courts of British Columbia, subject to any mandatory jurisdiction rules that apply to public-sector customers.
13. Public-sector customers
We recognise that municipal, provincial, and federal customers may be subject to procurement rules, FOIPPA, and other public-sector requirements that supplement or override these Terms. If you require a negotiated master agreement, data-processing addendum, or supplier information form, contact support@beaconreports.ca before placing an order.
14. Changes to these Terms
Material changes will be announced by email to active customers at least 14 days before taking effect. Non-material changes (formatting, clarification of existing terms) take effect on publication. The "Last updated" date at the top of this page reflects the most recent change.
